Executive Assistant to the Director

In this position, you will work closely with and advise the PRIO leadership and actively contribute to institutional management and governance. You will contribute to high-quality meetings and events, and to ensuring that processes are carried out in a structured and efficient way. You will also engage with internal and external communication from the PRIO leadership.

We are looking for someone who works independently, has a strategic mindset, and enjoys coordinating and following up on tasks. You are positive, collaborate well across roles, have a good sense of humor, and contribute to a good working environment.

Key responsibilities

  • Manage the Director’s calendar and meeting schedule. Collect and quality-assure background materials for meetings, take minutes, and ensure follow-up of decisions.
  • Ensure effective information flow from Director’s office to various forums
  • Coordinate and manage projects, operational initiatives and strategic processes
  • Prepare and quality assure presentations, speeches, media engagements and other materials for the Director
  • Respond to inquiries on behalf of the Director
  • Other administrative tasks as required

Qualifications

  • Relevant higher education at master’s level
  • Relevant work experience and thorough understanding of the academic sector, including in Norway
  • Structured and analytical with the ability to take initiative and responsibility and work independently
  • Excellent written and verbal communication skills in both Norwegian and English

PRIO offers

Full-time, permanent employment in the position of Executive Assistant to the Director. The preferred starting date is 1 June 2026 or as soon as possible thereafter.

PRIO offers salary according to qualifications and membership in Norwegian Public Service Pension Fund.

The institute is located on spacious and attractive premises in central Oslo.
